New system-wide policy management process being phased in

Yale New Haven Health is in the midst of a multi-year, system-wide standardization of policies and procedures. Epic has already standardized clinical workflows across the entire health system, and now it is time to standardize policies, which currently vary from one delivery network to another.

Over the past couple of years, Bridgeport, Greenwich and Yale-New Haven hospitals, as well as Northeast Medical Group, began using the same software, called MCN Policy Manager, to develop, update, standardize and store their policies on a single site, instead of the current three sites. In general, all of the policies within the health system — both clinical and non-clinical — have to be reviewed and updated every two or three years.

"Now that we have a single policy management system, it is time to move the policy redesign project to its next phase — standardization of all policies — in which delivery network policies will be replaced with system-wide policies," said Julie Hamilton, vice president, Corporate Compliance. The standardization process is expected to take up to four years.

"Going forward, all new policies must be formatted into the new YNHHS template and uploaded to the system," she explained. "For all old or existing policies that need to be updated, the responsible staff member must work with their counterparts in the other delivery networks to develop a single policy that will work everywhere."

The MCN software provides ready access to policy and procedure manuals and helps staff more easily update policies and procedures for which they are responsible. It also saves time, maintains compliance and streamlines the policy approvals. In addition, online education opportunities will be available to staff.
